Privacy Policy

Convax ("Convax," "we," "us," or "our") provides an AI voice agent platform that helps merchants manage bookings, orders, and customer communications. This Privacy Policy explains what information we collect, how we use it, and the choices you have, including specific disclosures required for our integration with Google Calendar.
1. Information We Collect
Account information. When you create a Convax account, we collect your name, email address, business details, and authentication credentials.
Google Account information (when you connect Google Calendar). If you choose to connect your Google Calendar to Convax, we request limited access to your Google Calendar data via Google's OAuth service. Specifically, we access:
- Your list of Google Calendars (calendar names and identifiers), so you can select which calendar to sync bookings with.
- Free/busy time information, so Convax can check availability and avoid scheduling conflicts before confirming a booking.
- Calendar event data limited to events Convax creates, so we can add a new event when a customer books an appointment and list those events back to you in the Convax console.
We do not request access to the full content of unrelated calendar events, attendee lists, or any Google data outside what is described above.
Booking and order data. When a customer books an appointment or places an order through your Convax-powered voice agent or storefront, we collect the details needed to fulfill that transaction (name, contact information, appointment time, order details).
Usage data. We collect standard technical information such as IP address, browser type, and log data to operate and secure the platform.
2. How We Use Information
We use the information described above only to provide and improve the specific, user-facing features of Convax that you use, including:
- Creating, updating, and displaying calendar events for bookings made through your voice agent or storefront.
- Checking your Google Calendar availability to prevent double-booking.
- Sending you transactional communications (booking confirmations, account notifications, support responses).
- Operating, securing, and improving the reliability of the Convax platform.
We do not use Google user data for advertising, and we do not sell Google user data to third parties.
3. Google Limited Use Disclosure
Convax's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, and without limitation:
- We do not use data obtained through Google APIs to train, develop, or improve any generalized or foundational artificial intelligence or machine learning models.
- We do not allow any human at Convax to read your Google user data, except where you have given explicit consent, where it is necessary for security purposes (for example, investigating a bug or abuse), or to comply with applicable law.
- We do not transfer Google user data to third parties except to provide or improve the user-facing features described in this policy, for legal compliance, or in connection with a merger, acquisition, or asset sale, and only ever with appropriate notice.
4. Data Retention and Deletion
We retain Google Calendar data only for as long as necessary to provide the booking and scheduling features described above. If you disconnect your Google Calendar from Convax, we stop accessing your calendar immediately and delete any Google Calendar tokens and cached calendar data associated with your account.
You may request deletion of your account and associated data, including any Google data we hold, at any time by contacting us at support@convax.ai. We will act on deletion requests promptly, subject to any legal or accounting retention obligations (for example, financial transaction records we are required to retain by law).
5. Other Third-Party Services
Depending on the features you use, Convax may also integrate with other third-party services (for example, payment processors and e-commerce platforms). Data shared with those services is governed by their own privacy policies in addition to this one.
6. Your Rights
Depending on your location, you may have rights to access, correct, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, contact us at support@convax.ai.
7. Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we hold from unauthorized access, disclosure, alteration, or destruction.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the "Last updated" date above and, where appropriate, through direct notice.
